Records Retention Policy

DEPARTMENTAL RECORDS

Offices and departments create certain type records that are unique to each department. The unique records are retained as specified by UM, IHL, State, Federal or outside entity guidelines. Departmental unofficial copies of records maintained for convenience are retained at the discretion of the department but are encouraged to maintain a minimum amount of time in order to reduce labor and save space.

Record

The following files/records are retained on an indefinite basis – department discretion:

Minutes of Ad Hoc Committee Meetings, General Correspondence

Departmental Unofficial Copy

The following paper copies of records should be retained for 7 years:

Time Sheets, Leave Sheets, Work Orders (Physical Plant and Telecommunications only)

 

The following paper copies of records should be retained for 3 years:

Blue Time Cards – Destroy in 2006

 

The following paper copies of records should be retained for 1 year – then retained at department discretion:
