Approved Vendors

To ensure that our community has access to high-quality providers of marketing and communications services, we've developed an Approved Marketing & Communications Vendor program.

Overview

As part of this program, vendors are required to:

  • Become a recognized vendor of the university
  • Complete all appropriate brand training courses
  • Agree to follow the Brand Review process.

Once these steps are complete, vendors are added to the official Approved Marketing & Communications Vendor list, and members of the university community may communicate with them directly to receive estimates for projects and work with them to create deliverables.

Working with Approved Vendors

To work with our Approved Vendors, first identify the type of asset you wish to create, and view the list of vendors approved to provide an array of services and products for the university. Regardless of the deliverable, best practice calls for reaching out to more than one vendor to solicit cost estimates. Our vendors understand that you will be seeking the best price and overall value for your projects. Should you choose to work with an Approved Marketing & Communications Vendor, note their official University vendor number as it will be needed for the purchase requisition.

As of July 1, 2023, the University no longer offers printing services to the campus or community. As such, the university has identified several print vendors that can deliver the quality and service that our campus and community has come to expect over the last several years.

Please note that some vendors listed may not accept University Procurement cards. Others that accept payment via University Procurement cards may also assess service charges.

Marketing and communications agencies provide the university the ability to work with third-party partners who have dedicated skills and expertise that our departments may not have in-house. For example, you wish to grow enrollment in a graduate online program and are seeking a digital agency with an ability to create an SEO attractant strategy along with a digital display ad purchase.

Typically, you'll wish to engage with agencies at a rate higher than the $5,000 Procurement card limit, so two estimates will be required. Further, we would strongly suggest working with any agency on a comprehensive scope of what will be accomplished with a finite schedule of milestones. IT-related services (website design, digital marketing services, etc.) over $5,000 will require a separate approval.

The following agencies have either a standing Master Service Agreement with the university or have executed agreements with university units, departments, colleges, or schools in the past. If you anticipate that your scope of services (Request For Proposals) or commodities (formal bid) will require more than $75,000, the formal process is required and we encourage you to reach out to marcomm@olemiss.edu before proceeding.

Agreements and SOWs

Any contract/statement of work between the University and a third-party provider of marketing and communications services should, when possible, include the following standard language requiring the provider to deliver work that follows University brand guidelines:

“Third-party provider agrees to complete the University of Mississippi brand training course, follow all applicable University of Mississippi brand standards and policies, and provide reports of the work they produce on behalf of the University to University Marketing & Communications.”

University departments/units/employees should work with the third-party provider to negotiate the inclusion of the above or similar language in any contract/statement of work.

Even more so than photography, high-quality video is dynamic and allows us to explore storytelling with even more senses. Our video team has curated the following list of vendors who they feel can authentically deliver our university's story through video.

And like photography, our Media Productions team is among the best in higher education, but cannot serve all video needs that our campus may have. Instead, we focus our attention on strategic areas of interest as outlined by our department's strategic plan:

If your video idea or project doesn't fit within the aforementioned areas of interest, we encourage you to reach out to one of the following Approved Videography Vendors below based on their specialties and your needs.

Depending on the scope of your project, you'll most likely need two estimates from vendors (more than $5,000). Note that it is the responsibility of the university entity to ensure that accessibility standards are met and captions are included on your final video deliverable. Before engaging with videography vendors, know that high quality video takes time, thought and energy. Regardless of the cost of your estimate, please know that each videography vendor must adhere to the University's Commercial and Documentary Filming policy, which requires them to submit requests to film on campus no less than 30 days prior to filming, submit the appropriate documentation such as proof of insurance, script, and more, so plan accordingly.

Internal Resources

In addition to the services provided by our Approved Vendors, view the self-service and internal options available to our university community for all business stationery and display signage.
Beginning in early 2024, a single vendor will be tabbed to create all business stationery — including business cards, letterhead, notepads, notecards, envelopes, and nametags — for all university departments and personnel. Check out the Brand Review Process page ("I need business cards or other business stationery") at a later date as we'll update the section with vendor contact information and a step-by-step ordering process. Note that these materials will NOT require brand review and approval prior to ordering.
The Sign Shop, located in the Facilities Managment Department, specializes in internal and external signage including yard signs, banners, and building signage. Check out the Brand Review Process page ("I’ll be Creating My Own Work" and "I want University Marketing & Communications to create my project") for a step-by-step ordering process. Note that these materials will require brand review and approval prior to ordering.

How to Become an Approved Marketing & Communications Vendor

To become an Approved Marketing & Communications Vendor, vendors must complete three steps:

1). Become a vendor of the University of Mississippi.

Please visit the Procurement website and download the Vendor Application Guide to learn how to become a vendor.

2). Once approved, please email your approved University vendor number to brand@olemiss.edu and indicate which services/commodities you are interested in creating as well as your portfolio of services and samples of your product (if necessary). Upon receipt and after review, a Brand Services team member will reply to your email to set up the appropriate brand training.

3). Upon completion of the brand training(s) and agreement to all terms, your information will be added to the appropriate list(s).
