Steps for Using Workday Time Kiosks
The Workday Time Kiosk is an easy, convenient way for hourly employees and student workers to check in and check out for work.
How to Check In
- Access the Workday Time Kiosk in your workplace. If you’re unsure where it is located, contact your supervisor. You can also find a publicly accessible kiosk on the university’s interactive map.
- On the login page, enter your 8-digit Employee ID, including all leading zeros (example: 000XXXXX). This can be found in your Workday profile under the Job Details tab of the Job section.
- Select Log In.
- On the Check In page, enter the following information:
- Time Type – Select the time entry code for the work you are performing.
- Comment – Add a comment to associate with your check-in time.
- Select Check In.
How to Check Out (Meal or End of Day)
- On the Check Out page, enter the following information
- Select type – Choose Meal to check out for lunch or Out to check out for the day.
- Comment – Add a comment to associate with your check-out time.
- Select Check out.
This new kiosk system means no paper timesheets, no guesswork, and no lag. Just check in, check out, and go. If you are an hourly worker, reach out to your department to see if you will be using Time Kiosks.
Please note that Time Kiosks are provided for your convenience. Departments must be prepared with backup options in case of a technical problem.
Tracking, Reviewing, and Submitting Every Pay Period
Hourly employees and student workers will now record all hours worked directly in Workday and submit them for approval each pay period.
- You’ll enter your time daily or weekly using the methods determined by your department.
- When your time is complete, you’ll review and submit it for manager approval.
- Your manager will receive an automatic alert to approve, deny, or send it back for correction.
Tip: Time must be entered, submitted, and approved for it to be paid.
Managers can also delegate approvals temporarily if needed, and employees receive alerts if time is entered on their behalf.
