Find answers to some frequently asked questions about Encompass.

SAP is our current enterprise system that integrates and manages various business processes and functions including Student Information Systems, Payroll, Human Resources and Financial. 

 

These new systems will modernize our digital infrastructure to better serve our faculty, staff, and students. SAP been in place since 1999.
  • End of life for our current SAP platform is December 2027. These complex systems require a replacement to be in place ahead of the end-of-life date and take several years to implement. 

Our new system will include two cloud-based solutions to replace our current systems. These include Workday for human resources, payroll and financial and Banner by Ellucian for our student information system (SIS).

Most HR business practices will be completed in Workday and will replace current HR, payroll, SAP SuccessFactors, SAP Financials, and many MyOleMiss HR and payroll-related applications.

  • Workday HR business processes will include recruiting, compensation, payroll, time tracking, absence management, benefits, people analytics and more.

Additionally, Workday will serve finance and budget (adaptive planning) including financial accounting, banking & settlement, customer accounts, grants and endowments, projects, business assets, and expenses.   

Among the many benefits that our students can expect include enhanced mobile functionality and increased self-service to empower the student for advising, course planning, and registration.

Improved functions in the Banner SIS include viewing academic progress, advising, financial aid, course scheduling & registration, student assessment, student support services, and admissions and enrollment. 

Encompass has nearly 300 university employees from almost every unit on campus dedicating time over the next three years to this effort.

  • This includes teams overseeing the numerous, varying and complex technical tasks including ensuring we will be able to easily see the information we are using as well as valuable new reports that were not possible in our old system.
  • Teams are also working to ensure data accuracy, consistency, and removal of duplicates as we migrate from existing systems into the new systems.

Other teams will work with our students, faculty, and staff to ensure that the new systems work as we want them to, and we are all able to access records that were in the old system.  

While IT project requests can continue to be submitted, any new projects will likely be delayed until the new ERP is implemented.

 

Among the guiding principles of Encompass includes a focus on stakeholder communication, readiness, training and user feedback.

  • We recognize that the successful implementation of Workday and Banner is an ongoing process that extends beyond its initial launch after which continued support will be provided for users.
  • User feedback is an essential component in ensuring that the system is a powerful, user-centric tool and continuously evolves to support the success and growth of our university.

There will be many features and functionality that are optimized and improved after the initial go-live dates.
