Job Aids & Demos

Job aids are step-by-step guides with screenshots to walk you through specific processes within Workday. Demos are short demonstrations and how-to videos of specific tasks or processes. 

 

These materials are updated regularly. If you print a job aid, be sure to check back periodically to ensure you’re using the latest version. 

 

Tip: Not sure where to look? Expand all categories by selecting the “+” button, then use your browser’s search function to locate specific terms. For example, searching for “Costing” will quickly direct you to the Assign Costing Allocation demos and job aids within the Unit Initiator section.

Beginning with the Spring 2026 certification period, effort certification will move from Principal Investigator (PI) certification in myOleMiss to employee self-certification in Workday.

Workday Tips & Tricks

Make the most of Workday with these FAQs-related tips.

In the Workday Mobile app, your archive of past actions is called Completed Tasks. Here’s how to access it:
  • Open the app and tap My Tasks at the bottom.
  • At the top, next to My Tasks, tap the down arrow (∨).
  • Select Completed Tasks to view your archive.
  • To return, tap the down arrow again and re-select My Tasks.

Using the search bar is a great way to find Workday Help Articles, but did you know you can browse all articles in one place?

From your Workday homepage menu, hover over Personal, and select Help to access the Help Center. Articles are organized by category, with the number of available articles listed beside each section.

Unit Initiators are employees authorized to start business processes on behalf of their department (like hiring or organizational chart changes). They were previously known as E-Form initiators.

To find your Unit Initiator:
  • Select your Profile in the top-right corner and choose View Profile.
  • Open the Job tab from the menu on the right.
  • Select Support Roles at the top of the page (you may need to use the More dropdown to see this option).
  • On the Support Roles tab, you can see the workers assigned to your area, including your Unit Initiator, HR Partner, Manager, and other support roles.
  • You may click the column header to filter for Unit Initiator.

To update your delivery preferences for future W-2s to only receive electronic versions:
  • Log in to Workday.
  • In the search bar, type "My Tax Documents".
  • Select Tax Form Printing Elections.
  • Click Edit and choose: Receive electronic copy of my Year-End Tax Documents.
  • Click OK to save.
Note: Beginning with the 2026 tax year forms (issued in 2027), all W-2s will be available digitally in Workday. If you want a paper copy, you must opt in to receive it.

When a student graduates or is no longer working for a department, the manager or unit initiator must submit a Terminate Employee business process for the student if the student has only one job.

If the student has multiple jobs and will continue to work elsewhere on campus, the department the student is no longer working for should submit an End Job business process. The end job business process will end the student’s job with the department they’re no longer working for, but will not terminate them in Workday.

As a Software-as-a-Service (SaaS) platform, Workday receives two system updates each year, introducing new tools and improvements. These updates typically happen in March and September. 

That means the system is ever-evolving! We will communicate key changes out to campus.
